PERSONAL ASSISTANT

We're currently looking for a Personal Assistant to join our rapidly growing team. The job will involve providing support to the Managing Director and other senior members of staff, office management, support for finance and HR as well as some marketing coordination. The main areas of the job are outlined below.

MAIN RESPONSIBILITIES

  • Supporting the managing director
  • Events calendar for all staff
  • File and retrieve material
  • Research
  • Manage and maintain schedules
  • Meetings and events
  • Meeting minute taking
  • Incoming communications
  • Review and improve operating practices

OFFICE MANAGMENT

The personal assistant’s duties include the day-to-day running of the office, which includes the following elements:

  • Stationary orders
  • Managing cleaners
  • Coordination tidying and arranging necessary repairs
  • Health and Safety support
  • Discussing problems with staff and help to resolve them
  • Office procedures
  • Maintain office/holiday/room calendars
  • Scanning/filing
  • Events
  • Post
  • Office keys/fobs

The role will include the coordination of HR aspects in combination with line managers.

  • Probation pass letter
  • Pension system coordination
  • BUPA coordination
  • New starter induction
  • Writing policies
  • Maintaining staff records spreadsheet

Assisting the financial controller, the job will include helping with accounts and ensuring the systems are kept up to date

  • PayPal account
  • Inputting some items into Sage
  • Look after social card and non-client card
  • Helping staff with expenses
  • Banking cheques

With regular social events, the job will involve the coordination of these as well as management of some aspects.

  • Arranging social events with the help of the social committee
  • Arrange social committee meetings
  • Buy cards and organise presents for staff birthdays
  • Arrange new starter meals
  • Weekly food orders
  • Being responsible for payments from the social budget, collecting receipts and updating the budget records

Assisting the Managing Director and other senior members of staff including the Commercial Director with marketing activities.
